Getting Started

What is Rebridge?

Rebridge automates purchase order creation for retailers. You upload a vendor invoice PDF, our AI reads every product, size, and quantity, matches it to your existing catalog, and builds the purchase order in your POS. What used to take hours of manual data entry takes about a minute.

What do I need to get started?

A Lightspeed Retail R-Series account. That's it. Sign up, connect your Lightspeed account (takes about 30 seconds via OAuth — we never see your password), and upload your first invoice. The system syncs your catalog automatically.

How long does setup take?

Most retailers are up and running in under 5 minutes. You connect Lightspeed, the system syncs your catalog, and you can upload your first invoice immediately. There's nothing to configure — no templates, no mappings, no training.

Do I need to be technical to use Rebridge?

Not at all. If you can drag a PDF into a browser window and click "Approve," you can use Rebridge. The entire point is to remove the technical work from purchase order creation.

How It Works

How does the AI read my invoices?

When you upload a PDF, the AI extracts every line item — style numbers, colors, sizes, quantities, and pricing. For invoices with size grids (common in apparel and footwear), we use the actual text coordinates in the PDF to align quantities to the correct size columns. This is mathematical alignment, not guessing.

How does Rebridge match products to my catalog?

The system searches your catalog using multiple methods: manufacturer SKU, UPC barcode, product name matching, color code intelligence, and size resolution. It checks all of these in sequence and uses the first confident match. If it can't find a match, it flags the item for your review.

What happens if the AI gets something wrong?

Every purchase order goes through a human review step before anything touches your POS. You see every product, every size, every quantity laid out in a clean grid. You can edit sizes, change quantities, reclassify products, or reject items. Nothing gets created in Lightspeed until you click approve.

Does it work with any vendor document format?

Yes. We've processed documents from hundreds of vendors — Volcom, O'Neill, Vuori, Rip Curl, Billabong, RVCA, and many more. The AI handles different layouts, size grid formats, pricing structures, and discount columns. No templates or format training needed.

What about invoices with complex size grids?

This is actually where Rebridge excels. Some vendor invoices have 18-column size grids with quantities scattered across them. We extract the exact pixel coordinates of every number in the PDF and align them to the correct size columns mathematically. No AI guessing involved in the column alignment.

Does the system learn over time?

Yes. The system audits your catalog to understand your store's naming conventions, color formats, category structure, and size systems. It also builds vendor profiles — after processing a few invoices from the same vendor, it knows their color codes, invoice layout, and pricing patterns. Accuracy improves with every invoice.

What documents can Rebridge accept?

Any vendor document. Rebridge started with invoices and now handles order confirmations and seasonal prebooks too. Drop in the PDF (or CSV/Excel) and Rebridge builds a Lightspeed purchase order with the correct line items, ship dates, and pricing — the same workflow regardless of document type.

What's the difference between an invoice, an order confirmation, and a packing slip?

An invoice is a billing document, sent when a vendor ships goods to you. An order confirmation is a commitment document, sent when a vendor accepts your order — often months ahead for seasonal prebooks. A packing slip lists what's physically in a delivery. All three result in a Lightspeed purchase order, and Rebridge handles each one automatically.

What is a matrix (or product family) in a retail POS, and why does it matter for purchase orders?

A matrix is a parent product with child variants across attributes like color and size — one Hyperfreak Boardshort with Black/S, Black/M, Blue/S, and so on underneath it. When a vendor ships a new colorway, the right move is to add it to the existing matrix, not create a separate product. Doing that wrong is the number-one cause of catalog bloat and duplicate SKUs. Rebridge identifies the parent family and extends it automatically.

Will importing vendor documents create duplicate products in my catalog?

That's the risk with flat imports. Rebridge is built to avoid it: it matches each line against your existing catalog and, when an item belongs to a matrix you already carry, adds it as a new variant on that family rather than a new standalone product.

How does Rebridge handle a brand-new product that isn't in my catalog yet?

It creates the product in your conventions — your category tree, your naming format, your attributes and matrix structure — so a new item lands looking like you entered it by hand, not like a generic import.

Can Rebridge read vendor style numbers, not just SKUs?

Yes. It decomposes the style number into its components — style root, season, colorway, and size — and reasons about each, which is how it matches correctly even when the vendor's format doesn't line up with your catalog.

Pricing & Plans

How much does Rebridge cost?

Starter is $89/month (30 POs, 1 location, 3 users). Professional is $179/month (100 POs, 3 locations, 10 users). Enterprise is $349/month (unlimited everything). Annual billing saves about 17%. All plans include a 14-day free trial.

Can I try it before paying?

Yes. Every plan starts with a 14-day free trial. Connect your Lightspeed account, upload a few invoices, and see the results before you commit. No credit card required to start the trial.

What counts as a purchase order?

Each invoice you upload and push to Lightspeed counts as one purchase order, regardless of how many line items it contains. An invoice with 5 products and an invoice with 50 products both count as one PO.

Can I cancel anytime?

Yes. Cancel from your account settings at any time. Cancellation takes effect at the end of your current billing period. You keep access until then. Refunds are available within 14 days of your first payment.

Data & Security

Is my data safe?

Yes. All data is encrypted in transit (TLS 1.2+) and at rest. Your Lightspeed tokens are encrypted with additional application-level encryption. Every database query is scoped to your account — there is no cross-tenant data access. We're hosted on Vercel and Supabase, both SOC 2 compliant.

Does Rebridge store my invoices?

Uploaded PDFs are stored in encrypted cloud storage so you can reference them later. You can delete any invoice from your dashboard at any time. If you close your account, all data including PDFs is permanently deleted after 30 days.

Is my data used to train AI models?

No. We use Anthropic's Claude API for invoice parsing, and their API tier does not use customer data for model training. Your catalog data is never sent to AI services — only the invoice content is transmitted for parsing.

Can other Rebridge customers see my data?

Absolutely not. All data is strictly isolated per account. The only thing shared across customers is anonymized vendor-level knowledge — for example, that a particular vendor uses "BWH" as a color code for Black/White. No product data, pricing, inventory, or business information is ever shared.

What happens to my data if I cancel?

Your data is retained for 30 days after cancellation to allow for reactivation. After 30 days, all personal data, invoice data, catalog snapshots, and uploaded PDFs are permanently deleted. Lightspeed OAuth tokens are revoked immediately.

Lightspeed Integration

Which Lightspeed version does Rebridge work with?

Rebridge works with Lightspeed Retail R-Series (formerly Lightspeed Retail). This is the version commonly used by independent brick-and-mortar retailers. We do not currently support Lightspeed X-Series, E-Series, or Restaurant.

How does the Lightspeed connection work?

You connect via Lightspeed's official OAuth flow — the same secure process used by all Lightspeed integrations. You log into your Lightspeed account, grant Rebridge access, and that's it. We never see or store your Lightspeed password.

Can I disconnect Lightspeed at any time?

Yes. You can disconnect from your Rebridge settings or directly from your Lightspeed account. Disconnecting immediately revokes our API access. We can no longer read your catalog or create purchase orders.

Does Rebridge create products in Lightspeed or just purchase orders?

Both. If a product on the invoice already exists in your catalog, we add it to the purchase order as a reorder. If it's a new product, we can create the item in Lightspeed as part of the PO — with the correct matrix, color, size, and pricing. You review and approve everything before it's created.

What about multi-location stores?

Rebridge supports multiple Lightspeed locations. Purchase orders can be routed to specific store locations. The Professional plan supports up to 3 locations, Enterprise is unlimited.

Do I still need Rebridge if Lightspeed has built-in AI receiving?

They solve different parts of the job. Lightspeed's native AI-OCR is excellent at receiving — scanning an invoice or packing slip and dropping line items into a draft purchase order to validate against existing products. Rebridge does the merchandising work on top of that: decoding vendor style numbers, matching to your exact catalog naming, adding new colorways to an existing matrix instead of creating duplicates, building new products in your store's own categories and conventions, and handling forward-dated order confirmations for seasonal prebooks. If your catalog is simple, native receiving may be all you need. If you carry apparel or footwear with size grids, matrices, and seasonal prebooks, that's exactly where Rebridge earns its place. Common Questions

What if my vendor isn't supported?

If the vendor sends documents as PDF, Image, CSV, or Excel, Rebridge can read them. We don't maintain a list of "supported vendors" because the AI reads the document itself — it doesn't rely on pre-built templates. If you run into a document that doesn't parse well, our team will look at it.

Can I edit the purchase order before it goes to Lightspeed?

Yes. The review screen shows every line item with an editable size grid. You can rename sizes, change quantities, add new sizes, remove items, change the product match, or reclassify how an item is handled. Changes are saved and the purchase order is rebuilt before execution.

How accurate is the AI?

For invoices from vendors we've seen before, accuracy is typically above 95%. For brand new vendors, it's usually around 85-90% on the first invoice and improves with each one. The review step catches anything the AI misses, and your corrections teach the system for next time.

Do you support non-English invoices?

Currently, Rebridge is optimized for English-language invoices. The AI can process invoices in other languages, but accuracy may be lower. We're working on expanding language support.
